Smart Meeting Room Panels —
700 devices across 12 business centers
A property-management company that operates business centers needed to end the daily mess of meeting rooms — people peering through glass, trying doors, interrupting live meetings. We designed a two-panel room system on Elecrow CrowPanel (ESP32) hardware, added local on-device voice control and a MiBoxer integration for the privacy glass, lighting and ventilation, and delivered it at scale: 700 panels equipping meeting rooms in 12 of their business centers.

Two panels, one synchronized status
Every room is equipped with two panels that act as a single system. Start a meeting from the large panel once people are seated, or from the small one as participants reach the door — end it from either. Any change on one panel is reflected on the other instantly, so both always show the same current status.
Inside the room — 5" / 7"
Main control & info panel
Mounted on the wall by the exit or placed on the table. Shows schedule, weather, company info and serves as the primary control surface for people already in the room.
- Color-coded occupancy and time remaining in the current meeting
- Upcoming meetings imported from Google Calendar
- Quick booking in a few taps; set duration instantly
- Book from a phone by scanning the QR code → opens the room in Google Calendar
On the door — 3.5"
Outside status indicator
Mounted directly at the entrance. Anyone approaching sees at once whether the room is free or busy — no more peering through glass or trying the handle.
- Pairs with the main panel over the local Wi-Fi network
- Receives room-status updates over UDP and mirrors them locally
- Identical hardware regardless of the main-panel generation (S3 or P4)
- Optional external status light outside the room
For guests & for productivity
Comfortable from the moment they arrive
Helpful info on the spot
- Guest Wi-Fi access
- Office map — restrooms, water cooler, etc.
- Company website & room-calendar links
Additional comfort
- Interface language switch for international guests
- Outdoor temperature & weather conditions
- Current time and at-a-glance planning
Comfort = productivity
- Indoor Air Quality (IAQ) index
- CO₂ level monitoring
- High CO₂ → fatigue → lower focus — surfaced before anyone notices
Runs entirely on-device
Fully local voice control
The panel has built-in microphones and speakers, so people interact by voice with no extra hardware. All speech recognition runs on the device itself — no audio leaves the room, no cloud processing, and the system keeps working even without an internet connection. Because recognition is local, response is effectively instantaneous and independent of network latency.
- Navigate screens — home, weather, calendar, settings
- Cancel a meeting and release the room
- Setup & onboarding assistance
- Quick-book the room for a preset duration
- Ask for weather, time and upcoming meetings
- Flexible phrasing, not one rigid keyword
“show weather”
“open the weather”
“weather screen”
“show me weather”
All four map to the same intent — interaction feels close to natural speech while staying lightweight and fully embedded.
Beyond status — room control
MiBoxer device integration
For this deployment the panel does more than show a schedule: it becomes the control surface for the whole room. By touch or by voice it drives a set of MiBoxer receivers — switching the privacy glass, the lighting and the ventilation — so the room can follow the booking or be adjusted on the spot.

Privacy glass
MiBoxer TRI-C1
LASS receiver controlling the switchable opaque glass — ON/OFF (0 % / 100 %) for instant privacy when a meeting starts.
Lighting
MiBoxer FUT035S+
LED receiver driving the room lighting from the panel — set to match the meeting or adjusted manually.
Ventilation
MiBoxer FUT035S+ · custom
Same receiver re-programmed for the fans — custom PWM frequencies so the ventilation runs quietly instead of buzzing on the stock profile.
Off-the-shelf hardware, production-grade product
The whole system is built on standard Elecrow CrowPanel modules. Display, touch and controller are integrated in one compact device — which is exactly what let us go from prototype to a 700-unit rollout without custom electronics.
